Remote Online Notarization (RON) allows eligible documents to be notarized online using secure remote notarization technology as permitted under New York law, without requiring an in-person visit. NY Notary Public Services provides services performed by New York–commissioned online notaries. The five steps below explain how to prepare, verify your identity, attend your appointment, and receive your notarized document.
Start with a document review. Email your unsigned PDF, the document's intended use, and any deadline or instructions from the receiving authority. We will review eligibility before scheduling.
Step 1: Submit Documents for Review (PDF Only and Unsigned)
- Documents must be submitted in PDF format only and must be unsigned.
- We review document eligibility under New York law, completeness, and notarial requirements.
- Please include the full legal name and email address of each signer, the document's intended use, and any deadline.
- Signer identity and witness requirements, if applicable, are confirmed during review.
- Certain documents cannot be handled through our online service, including wills, trusts, health care proxies, and New York statutory powers of attorney. See Document Eligibility & Limitations.
Step 2: Identity Verification & Credential Analysis
- All signers must complete the required identity-verification process before the notarization can proceed.
- Verification may include government-issued photo identification, credential analysis, and knowledge-based authentication (KBA), when applicable.
- Complete verification ahead of your appointment. Follow the instructions in the invitation email; the verification link is sent directly to the signer.
- Credible witnesses: Where permitted under New York law and supported by our process, credible witnesses may be an alternative when standard identity verification is not available. Witness eligibility and verification must be reviewed in advance; this option is not automatic.
- For accepted identification, verification steps, and technical requirements, see ID Verification & Technical Requirements.
Step 3: Schedule the Remote Online Notary Session
- Appointments are scheduled after documents are approved. Each signer receives their own session invitation.
- Our current online notarization platform requires Google Chrome on a compatible device with a working camera, microphone, and reliable internet connection. Confirm compatibility before your appointment.
- Signers may be located outside New York or outside the United States, subject to applicable New York law and successful identity verification. Acceptance of the document by an overseas recipient is a separate question.
- Same-Day New York Apostille timing (if applicable): The RON appointment must be completed by 10:30 AM New York time, and final documents must be received and approved by 11:00 AM New York time. Same-day processing is subject to eligibility, volume, and government-office availability; it is not guaranteed.
Ready to arrange your online notarization? Send your unsigned PDF first, or use our contact and intake page to request an appointment. We will confirm document eligibility and the next available session.
Step 4: Live Notarization Session
- The notary confirms the signer's identity, willingness to sign, and the document to be notarized during a live audio-video session.
- Signers apply their electronic signature as directed by the platform. Depending on the supported options, this may involve selecting a signature style or signing using a mouse, finger, or stylus.
- The New York online notary performs the applicable notarial act and completes the electronic notarial certificate.
- The session is recorded and records are retained as required by New York law.
- No walk-in or in-office RON appointments. These sessions are conducted remotely.
Step 5: Delivery, Legal Validity & Use of the Notarized Document
- After completion, the electronically notarized document is provided in digital format.
- An online notarization properly performed under New York law is a legally recognized notarial act. However, the receiving agency, court, institution, or foreign authority determines whether it will accept the document in its intended format.
- Electronic original versus printed copy: Printing an electronically notarized PDF does not necessarily create a paper original acceptable for filing or international use. Tell us in advance if the recipient requires paper submission, an additional certificate, or an apostille.
- Some court, real-estate, or filing matters may require additional documentation or a specific submission format. We can review those requirements when provided.
- For documents intended for use abroad, see Remote Online Notarization for International Use and Apostille & Authentication Services.
Frequently Asked Questions About New York RON
Can I complete a New York online notarization while outside the United States?
Potentially, yes. The signer may be outside the United States if the notarization meets New York's legal requirements and the signer can complete identity verification. The document's acceptance by a foreign recipient must be confirmed separately.
What browser should I use?
Use Google Chrome on a compatible device with a camera, microphone, and reliable internet. Please do not assume another browser will work with our platform.
What if I cannot pass standard identity verification?
Contact us before the session. Depending on the circumstances and applicable rules, a credible-witness procedure may be available. We must review eligibility in advance.
Should I sign the document before sending it?
No. Send an unsigned PDF for review and follow the notary's instructions about signing during the session.
Can an online-notarized document receive an apostille?
Some eligible New York online-notarized documents can proceed through an apostille process, subject to document format, required certifications, and state review. Send us the document and the destination country's requirements before proceeding.
