Notarize documents conveniently online with a New York State notary from anywhere in the world.

NY Notary Public Services provides Remote Online Notarization (RON) using secure technology for New York electronic notarizations. Eligible documents can be notarized online using live audio-video communication and identity verification protocols, without an in-person visit.

Signers can join from a computer, tablet, or mobile device — and participants may be located anywhere in the world as long as identity and document eligibility requirements are met. Multi-party sessions are available for eligible requests. Our New York notary conducts the notarization while physically located in New York State.

From a straightforward affidavit to a complex business signing involving participants in different locations, we combine convenient online appointments with personal assistance. RON can also support certain real estate closing packages and transactional workflows when eligible, coordinated through document review.

Outside New York or living overseas? You may still be able to notarize documents needed in the United States without visiting a local notary or U.S. embassy or consulate. Whether you are at home, at work, or traveling, our team can review your document and help arrange an eligible remote signing. An apostille is not automatically required simply because the signer is abroad.

Documents We Notarize Online

Remote Online Notarization can be an efficient option for many eligible domestic and business documents, including affidavits, sworn statements, declarations, consent forms, corporate documents, business agreements, and selected real estate-related documents. Eligibility depends on the document, the requested notarial act, and any requirements imposed by the organization receiving it.

We review documents before scheduling so we can identify potential issues and help determine the appropriate next step. Review document eligibility and limitations.

How Remote Online Notarization Works

  • Step 1 — Email Your Document (PDF only, unsigned): Send a fully completed PDF for review (leave signature/date/notary sections blank).
  • Step 2 — Document Review: We confirm eligibility, timing, and requirements, then reply with next steps and scheduling options.
  • Step 3 — Identity Verification: Eligible signers complete the required ID verification process before the appointment.
  • Step 4 — Online Appointment: Join the secure audio-video meeting with the New York notary to sign.
  • Step 5 — Receive Your Completed Document: You receive the notarized PDF shortly after the appointment.

We recommend allowing approximately 24 hours between document review and the appointment so everyone has time to complete verification and we can prepare the session properly. Same-day and rush appointments may be available, subject to scheduling and additional fees.

One Document. Multiple Signers. Different Locations.

Need several people to sign the same document but cannot get everyone into one room? Our RON platform can accommodate up to 100 signers in a single session, with participants joining from different locations. Each signer uses their own compatible computer, phone, or tablet and completes the applicable identity verification process.

This flexibility can be especially useful for corporate transactions, business agreements, legal documents, and families or teams spread across different cities, states, or countries. We coordinate the signing workflow in advance so participants understand what to expect.

Security, Encryption & Detailed Signing Records

Our remote notarization process incorporates identity verification and fraud-prevention measures designed to help confirm that the people signing are the people authorized to participate. Completed electronic documents are encrypted, and the platform maintains detailed records of session activity.

For eligible requests, additional signing certificates can document signer-location information and detailed, time-stamped session activity. We can also discuss certificates of authenticity for electronically notarized documents intended for courts, government agencies, or recording offices. Requirements and acceptance vary by receiving institution, so we recommend confirming its specific rules before proceeding.

Identity Verification & Credible Witness Options

Remote Online Notarization requires identity verification. In many cases, this includes credential analysis and knowledge-based authentication (KBA). If a signer cannot meet standard identity verification requirements, two credible witnesses may be an option for eligible requests. Credible witnesses must know the signer personally, successfully complete their own required verification, and participate in the appropriate affidavit process.

Our team can help explain the available options when a signer encounters an identification or verification obstacle. Credible-witness arrangements are subject to applicable requirements and advance review.

Device & Browser Requirements

Appointments can be completed using a compatible computer, tablet, or mobile phone with a camera, microphone, and stable internet connection. Firefox is not compatible with our platform, and no VPN is permitted during identity verification. For full preparation instructions, visit our ID Verification & Technical Requirements page.

Document Eligibility & Limitations

Not every document can be notarized online. Certain documents, including wills and some New York powers of attorney, may require in-person notarization or additional formalities. We confirm eligibility during document review before scheduling, and we can discuss alternatives when RON is not appropriate.

International Use: Apostille & Legalization

Remote Online Notarization is often used as a first step for international submissions. Depending on the destination country and receiving authority, your document may also require an apostille, authentication, embassy or consulate legalization, and/or certified translation.

We can coordinate eligible online notarizations with subsequent document authentication services, helping clients manage multiple steps through one point of contact. Because requirements differ by country and institution, acceptance of an electronically notarized document should be confirmed before starting.

Personal Assistance & Flexible Scheduling

One of the biggest benefits of RON is convenience: an eligible notarization can often be completed without traveling to a notary office. But convenience is only part of our service. Clients work with an experienced notary team that helps with document review, identity-verification questions, appointment preparation, and unusual or complex signing arrangements—not just an automated scheduling platform.

Same-day and rush requests may be accommodated when available. We provide a quote after reviewing the document and signer requirements; additional charges may apply for expedited scheduling, unusually large signing packages, special preparation, or optional certificates.

Frequently Asked Questions About Remote Online Notarization

Is remote online notarization legally valid?

New York authorizes qualifying electronic notarizations performed under applicable rules. Whether a particular document or receiving institution accepts RON can depend on its requirements. See Document Eligibility & Limitations.

Can I use your service if I am outside New York or overseas?

Yes. Eligible signers can use our New York Remote Online Notarization service from other U.S. states or overseas, provided the document and signer meet the applicable requirements. For example, someone living, working, or traveling abroad may need an affidavit, authorization, or other document notarized for use in the United States. RON may let them complete that notarization without visiting a U.S. embassy or consulate. Our commissioned notary performs the notarization while physically located in New York. See How New York RON Works and ID Verification & Technical Requirements.

Can I use a remotely notarized document in another country?

Possibly. Using a notarized document outside the United States is a separate question from where the signer is located. Acceptance depends on the destination country, receiving institution, and document type. Some documents may need an apostille, authentication, or consular legalization. Learn more about Remote Online Notarization for International Use.

What documents can be notarized online?

Many affidavits, declarations, business documents, consent forms, and other eligible documents can be reviewed for RON. Some documents are excluded or subject to special rules. See our document eligibility guide.

What identification and technology do I need?

You will need a compatible device with a camera, microphone, and reliable internet, plus the identification and verification information required for your session. Firefox is not supported. Review our ID Verification & Technical Requirements.

Can several people sign the same document from different locations?

Yes. Our platform supports multi-signer sessions, with each participant joining from their own device and completing the required identity verification. We coordinate eligible sessions in advance. Learn how RON works.

Can an online notarized document receive an apostille?

Some eligible electronically notarized documents can proceed through apostille or authentication processing, but acceptance depends on the document and destination. We can review the proposed use and coordinate appropriate next steps. See RON for International Use and Apostille & Legalization Services.
